Learn the basics of Breeze. From setting up your account to connecting Zoom for your video calls.

Product Overview

Breeze is a minimalistic meeting scheduling application. It connects with your Google Calendar to create/manage appointments that your guests will schedule from a simple web page.

You can have as many Breeze pages as you want. A Breeze page is set per each type of event you configure within Breeze, and each page comes with a unique URL you can share with your guests. You can have event pages for business or for your personal activities.

Your scheduling page can look like this:


You can configure the background and the event photo; but this is optional, it can also be a simple white page, which is the standard offered by Breeze.

Your guests can schedule appointments with you, you both will receive an email notification and a Google Calendar will be created automatically. You can decide whether you want to automatically include a meeting link for video call in that invite.

Breeze supports including meeting links from Zoom and Google Meet.

Events

Event pages serve to better organize your time, depending on the activity and context it will be used for. In example, you can have events:

  • With different durations, so you can limit the time certain people can book with you
  • On separate time slots, so you can separate the types of events to match your availability - for example, book internal meetings during the morning and client calls during the afternoon
  • Using Zoom or Google Meet, depending on your preference or the type of event

Create New Event

This is some text inside oIn this section you can learn how to create a new event, how to edit your calendar and determine your free slots.

How to create a new Event Page

  1. Go to the home page by clicking the Breeze logo or the event pages link in the menu on the left. Then click the “New Event” button.
  2. After that, you can edit the details of your event:
  • the name of the event
  • how long will the event last
  • your availability (if you want to know more about how to edit your availability, click here)
  • and which conference call service you want to use (Zoom or Google Meet)

     3. Below you can see your Breeze calendar and also overlay your own Google Calendar by clicking “Overlay my calendars”

This is enough to create a new Event but you can also use the calendar to fine tune its details and share your availability by interacting with the calendar. Just click and drag slots to share availability or to open/block specific time slots on your calendar. It’s also important to note, how time slots are displayed:

  • All calendar time slots with a white background are available to be selected by others when booking time with you
  • On the other hand, all slots with a light gray background are blocked and can’t be selected when booking time with you

To start, you just need to click on the calendar time slot you want and choose between the three options:

  1. Open a time slot and allow any events to be scheduled on that specific time
  2. Block a time slot and avoid any events to be scheduled on that slot
  3. Share your availability with others by selecting specific slots and clicking Share. This will create handy text snippets with scheduling options to copy and paste

If you want to see if everything is working, you can click the “copy link” button and paste it into your browser, now you can see your booking page.

Edit Event

Besides creating events you can also edit them. So if you need to update the duration, availability or change your call from Zoom to Google Meets or vice-versa, you can!

How to edit an Event

You can also edit advanced options to have more control over your event with:

Auto-accept events for certain emails

Everyone whose email is added to this section, can book a time in this event with you without you having to accept that booking manually. This is great to automate bookings with people who you already expect to book time with you.

To activate you need to:

  1. Click “Advanced Options” when editing an event
  2. In the “Moderation” settings page, just add all the emails for whom you want to be auto-accepted when booking time with you under the section “Confirm immediately for these certain emails”.

Add buffer time between events

The buffer time you define will be automatically added in when someone tries to book time with you, that way you will always have time for a break in between any event.

To start you need to:

  • Click “Advanced Options” when editing an event
  • In the Buffering settings page, you can edit the time you want to prepare and when  guests can schedule.

Customization

In Breeze you can customize many things and one of them is your event, let’s learn how to customize your booking page.

Add a background image and an image to the event

  1. Go to the home page or the event pages button in the menu on the left side.
  2. While editing your event, click the “Advanced options” button on the top of the page
  3. In the “Customization settings page”, and now you can edit the Custom color, the background image of your event, and also the event image.
  4. To Custom color is the color that users will see in your event when they are booking.
  5. To add a background image you will click the plus button on the background image section, and add the photo you want.
  6. It’s the same way to add an event image, you just need to click the “+” button on the Event photo section, and add the photo you want.

Add a description and instructions about my event

When you create an event, some people may not understand why you create that event or what rules/instructions they need to know about it. Because of that Breeze, let you made a description for that and also create some instructions for your guests.

To create your event description and the instructions, all you need to do is:

  1. Click on “Events” page then click on (…) and edit.
  2. Click on ”Advanced Options” and go to  “Costumization”.
  3. Scroll down a bit and you will find “Event Description” and the "Instructions" and then start writing your event description.

Scheduled Events

By clicking on the second button on the left hand side bar, you can see a summary of all your Breeze events, including past ones. Also, if there are any changes to your events, you will see a red dot to indicate something changed.

Scheduled Events are organized in the follow categories:
  • All - All your created events.
  • Pending - All events that you created but haven’t been accepted yet.
  • Upcoming - All of your future events.
  • Past - All the events you already participated in.
  • Cancelled - All of your canceled events.

Copy Link



Copy Link is a quick shortcut so you can easily copy the link for the booking page of a specific event. Instead of just sharing your entire Breeze page, you can share the exact link for a specific event you might want to share with others.

Smart Copy

The Smart Copy feature lets you copy and paste several scheduling options for the next few days, based on the event configuration.

You can quickly paste scheduling options for a specific events in an email, text message, etc with their corresponding booking page.

Smart Copy is very useful to propose various options to meet, in a more humane way. While sending your Booking Page link is quick, having an automated way to send several scheduling options within an email or text adds a more human and personalised touch. Moreover, if the guest clicks any of the smart links, the event is booked in 1-click! Super easy for both you and the guest.

Availability

With Breeze, you can set when you are available and Breeze automatically adjusts to your calendar, preventing you from wasting time with it.

Availabilities are times of day you can define and attach to specific events. Have an event you can only host on Tuesdays for example? Just create a new Availability with Tuesday as the available day, and your guests for that event will only be able to book it on Tuesdays.

For example, Breeze comes with 2 default availabilities than you can edit:

  • Work Hours
  • Extra Hours

Create Availability

  1. Go to the settings page, and choose “Availabilities”, so you can see the default availabilities. To create a new one you need to click the “Create new availability” button.
  2. The first thing to do is to name your newly created Availability
  3. Then, click and drag on the time slot(s) you want to add to this Availability
  4. Once the slot is added, you can:
  • drag it to adjust the start and end time
  • expand it by dragging down the end time to increase the duration.

Settings

Connect Breeze and Zoom to include a Zoom Meeting link automatically in your calendar invites.

Bio Links

Sharing your website, social media links, and other content is important so guests can learn more about you while booking time. This is why Breeze lets you add your links to your booking page so guests can have all that information accessible when trying to schedule time with you. We have also made it easy to add a 1-click WhatsApp message link in case you need guests to chat with you.
To add bio links (your website, social media links and others) you need to go to  Settings and click Bio Links.
  • Once you click in it you will need to put the URL of you account in the space that is requested
  • If you have created a custom link you will need to put the name of the Link and the URL of the website

Adding a WhatsApp button

In case you want to give your guests a quick an easy way to message you, just enable the WhatsApp link:
  • Go to Settings and click Bio Links
  • Fill in your phone number in the “Phone” input and then click on “Show WhatsApp Link”

Create a team in Breeze

Set up Teams so a specific group has their own dedicated event and corresponding booking page, common to everyone.
In this section, you can learn how to create a new team.
  • Go to the settings page link in the menu on the left. Then you will click int the “Teams” button on the settings bar.
  • Now you will click the button “Create a new Team”, after that you can choose the name of your team and the team members.
  • To add a team member you need to put his email and an invite will be sent to him.
Now it’s done! Your team was created with success, you and your team now can schedule time together.
Creating an event for your team, it’s almost the same as creating a default event, but with some more functionalities.
In this section, you can learn how to create a team event.

How to create a Team Event

  • Go to the home page by clicking the Breeze logo or the event pages link in the menu on the left.
  • If you already created a team it will appear on the events pages, if you have not yet created a new team you can learn how to, by clicking here.
  • Start editing by clicking on the “edit” button in your team’s event settings.
  • After that, you can edit the details of your event:

       - the name of the event
       - how long will the event last
       - your availability (if you want to know more about how to edit your availability, click here)
       - and which conference call service you want to use (Zoom or Google Meet)

    It’s almost the same as the default event but with some more exceptions.
  • Click “Advanced Options” while editing a team’s event.
       - In the “Moderation” settings page, you can activate the “Full-team Event” function and let Breeze schedule events based on your team member’s availability.

Add more calendars to Breeze

Have multiple calendars from different accounts? Don’t worry, Breeze supports as many calendars as you want. You can also define which account will be used to schedule events and to send invitations. In case you need to use more than one calendar, you can add by:
  • Go to Settings and then click Calendars
  • Once you’re on the Calendars page, click the + Add other account link below the account you already have connected
  • Follow the steps indicated by Google to add your calendar
You can also define which account is used by default after you added more your new account.

Zoom Integration

Connect Breeze and Zoom to include a Zoom Meeting link automatically in your calendar invites.

Installation

First, you should have a Breeze account. And to create an account you should have a Google account. See more.

If you are creating an account for the first time, you'll see an option during the onboarding for you to connect your Zoom account, but you can always connect your account by accessing the Integrations page.

Connecting your account

  1. Access the integrations page at: https://app.breezecal.com/en/integrations/
  2. Click "Install Application" on the Zoom app
  3. Follow the process on Zoom to authorize the application
  4. And that's all! Your Breeze account is now connected with Zoom

Usage

Congrats! Now you have connected Zoom to your Breeze account. From now on you can configure any Breeze event to use the Zoom integration so that every event scheduled in your Breeze page includes automatically a Zoom link for that call.

Creating Zoom links automatically

  1. Go to the events page: https://app.breezecal.com/en/events/
  2. Edit one of your events by clicking the three dots menu and then "Configuration"
  3. At the meeting details configuration, select "Zoom"
  4. Save your event configuration

All the meeting for this event will be scheduled now including a Zoom link in the Google Calendar invite. Both you and the guests will have that information accessible and handy for the moment of the call.

Automatic synchronization

If you cancel or re-schedule a Breeze event, the Zoom scheduled call will also be deleted or updated depending on the changes you've done.

Uninstallation

You can uninstall the Zoom integration in different ways:

  1. Disconnecting the Zoom integration from the Breeze page
  2. Deauthorizing the Breeze application on the Zoom third-apps management

Disconnect only

  1. Go to the Breeze Integrations page: https://app.breezecal.com/en/integrations/
  2. On the Zoom app, click on Disconnect
  3. That's it! Now the Zoom integration is disconnected

When you do a disconnect as described above, Breeze will still keep some basic data about your Zoom integration so that you can enable it again without having to re-authorize the full application. But you can always remove the full application by deauthorizing the Breeze app completely, see the next section.

Full removal and deauthorizing

  1. Visit the Zoom app market place: https://marketplace.zoom.us
  2. Search for Breeze and open the application page, you'll notice that it shows as "installed"
  3. Go to the section "Manage" at the bottom of the page
  4. Click "Uninstall" to revoke all permissions for the Breeze app

After this process, Breeze is fully disconnected and if you want to enable the integration again, you'll have to re-authorize the app, see the section "Installation" for the steps to re-enable the integration.

Troubleshooting

  1. Make sure you connect to Breeze using the proper Google account
  2. When you install Zoom, make sure you are logged in Zoom with the account that you want to connect to Breeze
  3. If your Breeze calendar events are not scheduled with a Zoom link automatically, then make sure you have enabled the Zoom app for each of those events (see the section "Usage" above)
  4. If your Zoom integration is not working, it may be that the authorization was revoked, try the installation process again

FAQs and support

How can I know if the Zoom app is installed?

On the Breeze integrations page, it should show as "Connected", also, visit the Breeze page in the Zoom app marketplace, it should show as installed

What data do you access from my Zoom?

Only the basic profile information for Breeze to pair with your Zoom account, and we request for permissions to manage the scheduled events in Zoom. Breeze requires write/read permissions to be able to create/edit or delete Zoom scheduled calls.

Can I revoke the permissions at any moment?

Yes, simply follow the "Uninstallation" instructions above.

How to block slots in my Calendar?

Go to the Calendar inside the event, select the slot range you want to block, and press the Block action in the floating panel. Also, if you wish to block a slot quickly, use Shift + Click.

How to unlock slots in my Calendar?

Go to the Calendar inside the event, select the slot range you want to open(unlock), and press the Open action in the floating panel.

How can I get support?

Google Integration

A Google account is required to create your Breeze account. You can optionally use our Google Meet integration to include meeting links in your scheduled events.

Creating an account

To have a Breeze account you should have a Google account, as Google is currently the only support method for registration and authentication.

  1. Go to the home page
  2. Click Sign Up
  3. Follow the process to authorize the Breeze app
  4. Complete the onboarding: a) set up your link, b) sync the calendars, c) define your tool for meeting links

Managing the calendars

You can sync your Breeze account with one or many Google Calendars. Multi-calendar support may require you to upgrade your Breeze subscription.

  1. Go to the Settings "gear" icon on the sidebar, and then click "Calendars", or use this link: https://app.breezecal.com/en/calendars/
  2. Configure the calendar you want to use as default for all the Breeze events that are created in your calendar
  3. Define what calendars you want to sync so Breeze can track them to avoid collisions in your appointments

Google Meet links

Breeze lets you include Google Meet links in your calendar invites automatically. To do this, you have to enable the Google Meet connection, and you should configure your Breeze events to use Google Meet:

  1. Go to the integrations page: https://app.breezecal.com/en/integrations/
  2. Make sure "Google Meet" shows as "Connected", other wise, click "Install Application"
  3. Go to the events page: https://app.breezecal.com/en/events/
  4. In any of the events, click the three dots menu, and then "Configuration"
  5. Make sure that in the video option (📹) you select "Google Meet".

Now, all the appointments for that event will include a Google Meet in the Google Calendar invite.

Deleting my account

You can delete your Breeze account at any moment. To delete your account, please contact our support team at help@breezecal.com, we will process your request and delete your account in a period of 72 hours.
